ChatGPT Isn't an AI Strategy: From Prompts to Workflows
The Fast Take
A prompt saves you ten minutes once. A workflow saves your whole team every week. Converting time-consuming tasks into a repeatable AI workflow — like turning messy client notes into a clean summary, follow-up email, and task list — gives your agency real time back.
If your agency's "AI strategy" is someone with ChatGPT open in a browser tab, you're not behind, you're just getting started.
A prompt is one interaction. A strategy is a process your agency actually relies on.
Wrong Question, Right Question
Most agencies start with "Which AI tool should we use?" Wrong question because it puts the tool ahead of the problem.
Ask this instead: What work here takes too long, happens constantly, or is too error-prone?
Renewal prep. Prospect research. Meeting follow-up. SOPs nobody wrote down. Pick from there, and the tool question answers itself.
From Prompt to Workflow
One good prompt saves ten minutes, but it doesn't scale because someone starts from a blank cursor each time.
A workflow is the same task, broken into steps, with a human checkpoint before anything goes out the door:
Input → AI does the task → human reviews → final action.
That review step isn't optional. It's what makes AI safe to use where a confidently wrong answer costs more than it does in a casual chat.
Automate the Task, Not the Accountability
Without proper guardrails, AI can misread context, invent a policy detail, and go stale. That's not a reason to avoid it. It's why the review step never gets skipped.
The agencies winning with AI aren't using it the most. They're the ones who know exactly where it fits and where a person still signs off.
Instead of "write me a renewal email," try: pull the account summary → AI flags what changed → a CSR checks it against the policy → the verified email goes out. Same task. Completely different reliability, because now it’s a workflow the whole team can run and not one person’s trick.
See It in Action
Here's an example of the shift in practice: turning messy handwritten notes into a client follow-up.
Two prompts, not one:
- Transcribe, don't guess. Upload the notes photo; flag anything unclear instead of guessing.
- Turn it into action. One prompt: a summary, a missing-info checklist, a follow-up email, a task list.
Anything touching a real coverage call, like whether the umbrella covers a teen driver, gets labeled VERIFY, not answered. That's still a human's job.
Scale it up: capture the conversation with an app like Granola or Otter.ai instead of handwriting it. Push the output straight into a project management app like Asana, Monday, or Notion. Now it's not a prompt; it's a workflow: conversation → notes → follow-up → tasks, with a human checking every step that matters.
Where to Start
Pick one frequent, time-consuming, reviewable task. Build a simple process. Test it. Improve it. Then decide if it's worth scaling.
That’s the real strategy: not "we use ChatGPT," but "here’s exactly where AI helps, and exactly where a person still checks the work."
