Catalyit Team Review

Helping agencies create consistent sales and service follow-up without relying on employees to remember every next step
Updated: August 2026

What we like:

  • Built specifically around insurance agency workflows: AgencyZoom combines pipelines, policy information, communication, automation, reporting, and service workflows in a CRM designed around how insurance agencies sell and retain business.
  • Automation extends across the client lifecycle: Agencies can automate emails, texts, tasks, reminders, onboarding, renewals, reviews, referrals, win-backs, and other follow-up rather than depending on individual employees to remember each touchpoint.
  • Sales visibility is straightforward: Pipeline dashboards make it easier for producers and managers to see where opportunities stand, what needs attention, and how individuals and teams are performing.
  • Service Center extends the value beyond new business: Service requests can be categorized, assigned, tracked, automated, and measured, giving agencies another way to create consistent workflows after the policy is sold.
  • A broad integration environment: AgencyZoom integrates with AMS360, QQCatalyst, PL Rating, HawkSoft, NowCerts, Tarmika, Bridge, and other agency technology, reducing the need for the CRM to operate as an isolated database.

Things to consider:

  • Automation requires thoughtful setup. Agencies should map their actual sales and service processes before building workflows rather than automating inconsistent or unnecessary activity.
  • AMS integration varies by system. Agencies should evaluate exactly which client, policy, activity, and other information moves in each direction with their specific management system.
  • The platform now covers a lot of territory. Agencies should determine whether their priority is sales CRM, lifecycle automation, service management, compensation, or a combination and establish clear ownership for each area.
  • More communication isn't automatically better communication. Automated email and texting should reflect the agency's service model and client preferences rather than creating touchpoints simply because the technology makes them easy.

Summary

Many agencies don't have a lead problem as much as they have a follow-up problem. Opportunities arrive from referrals, websites, lead vendors, carrier activity, and existing clients, but consistent follow-up often depends on individual producers remembering what to do next.

AgencyZoom brings structure to that process. Leads can enter defined pipelines, be assigned to producers, trigger automated communication and tasks, and remain visible to managers as they move toward a sale.

The platform now goes considerably further than sales. Onboarding, retention, renewals, reviews, referrals, win-backs, and service requests can all become part of the automated client journey.

What stood out during our review is that AgencyZoom is becoming less of a sales-only CRM and more of a workflow layer around the agency management system. The AMS remains the policy system of record; AgencyZoom helps determine what employees and clients should experience next

Key Features:

  • Insurance-specific CRM and lead management
  • Customizable sales pipelines
  • Automated email, text, task, and reminder workflows
  • Onboarding, renewal, retention, and win-back automation
  • Service Center and service-request management
  • Goals, dashboards, and producer reporting
  • Compensation plan and commission calculations
  • AMS, rating, phone, email, and third-party integrations

Best fit for:

  • Growth-oriented agencies that need a more structured sales process
  • Agencies where lead and renewal follow-up varies significantly by employee
  • Agencies wanting to automate communication across prospecting, onboarding, retention, and win-back
  • Agencies looking for more visibility and consistency around client service requests
  • Agencies whose AMS, rating, communication, and other technology can integrate effectively with AgencyZoom

May not be ideal for:

  • Agencies with very low lead volume and simple sales or service processes
  • Teams unwilling to define and standardize workflows before automating them
  • Agencies already using a mature CRM and service-management environment that integrates effectively with their AMS
  • Organizations whose critical systems don't provide the level of AgencyZoom integration they need

Deeper Dive

The Problem Being Solved: Agencies often have good people but inconsistent processes.

One producer follows up with every prospect five times. Another stops after two attempts. One account manager has a detailed renewal process. Another keeps reminders in Outlook. A service request arrives by email and gets handled, but management has little visibility into how long it took or whether similar requests are accumulating.

AgencyZoom creates repeatable workflows around those activities.

Sales opportunities can move through defined pipelines with automated emails, texts, tasks, and reminders triggered at appropriate stages. Managers can see what is happening across the pipeline instead of relying entirely on producer updates.

That same concept now extends into service. Service Center allows requests to be categorized, assigned, tracked, and incorporated into automated workflows.

The goal isn't simply to automate communication. It's to make the agency's preferred process easier for employees to follow consistently.

Why It Matters to Agencies: Growth becomes difficult to manage when every employee has a different system for remembering what happens next.

A CRM can help leadership establish expectations around lead response, quoting follow-up, onboarding, renewals, retention, and other client touchpoints. Automation then handles the repetitive pieces while employees focus on the conversations that actually require judgment.

AgencyZoom's reporting also gives managers more visibility into activity and outcomes. That can help identify whether an issue is lead volume, response time, producer activity, pipeline conversion, or another part of the sales process.

Service Center extends that visibility to existing clients. Agencies can see incoming service work, assignments, completion times, and other service activity instead of allowing requests to disappear into individual employee inboxes.

For growing agencies, that combination can make processes less dependent on individual memory.

What Stood Out to Us: What stood out during our review is how far AgencyZoom has expanded beyond lead management.

Lifecycle Automation can support the relationship from prospecting through onboarding, renewal, retention, referrals, and win-back. Service Center adds structured service-request workflows. eSignatures allow documents to be sent and tracked. Compensation tools can calculate producer compensation based on agency-defined plans.

The product also continues to become more configurable. Recent releases have expanded customer segmentation, automation triggers, service APIs, reporting detail, producer splits, and permission controls.

We also like the direction of the AMS360 integration. AgencyZoom and AMS360 are positioned as connected systems rather than competing systems of record, with client and policy information moving between the AMS and the CRM. That distinction matters: agencies generally don't need two systems trying to perform the same job.

For us, AgencyZoom's differentiation is increasingly clear: the AMS records what happened; AgencyZoom helps the agency consistently manage what should happen next.

Final Thoughts

We came away seeing AgencyZoom as considerably broader than a lead-management CRM. Sales pipelines remain an important foundation, but lifecycle automation, Service Center, reporting, compensation, eSignatures, and integrations increasingly allow agencies to apply the same process discipline after the sale.

We especially like the focus on consistency. Automation is most useful when it removes routine work while making sure important follow-up still happens. AgencyZoom gives agencies a practical way to define those expectations and make them less dependent on individual memory.

For an agency principal, AgencyZoom is worth further evaluation if growth or client service is being constrained by inconsistent follow-up. We would map your process from new lead through renewal and ongoing service and identify where opportunities, tasks, or client requests currently fall through the cracks. If the problem is less about what your employees know and more about consistently executing what should happen next, AgencyZoom is addressing the right problem.
